The company’s latest endeavor, Bra Confidence & Comfort™, uses the unique Comfort Fit System™ approach to help people find a comfortable bra without wasting hours lost in the bra department. In addition, the course promotes self-care/compassion/love by turning the everyday routine of putting on a bra into a ritual.

Virtual Assistant

Hurray Media is seeking a long term VA who will grow with the company. Our main outlet is Hurray Kimmay, an educational platform that supports folks to say hurray inside, outside, and underneath through undergarment education, coaching, social and website content, brand partnerships, TV appearances, workshops, and courses. Currently we serve three groups: brands, retailers and bra fitters, and bra wearers or consumers. 

You’ll work with our OBM on several projects, and you must be comfortable with a big vision of growth. This is not a company that will have 1 revenue stream with an upsell and a downsell, and 1-3 launches per year. We have several revenue streams, take on many exciting projects, and are willing to try new things often. Having the high energy and positive mindset to keep up with this pace, along with a steadiness to keep things organized and manageable is required. We move fast and have fun, and maintain a deep reverence for the work we do. 

Currently we serve clients from all over the globe in several countries. We act as beams of light from the company out into the world, and our aim is to cover the world, and light it up with Hurray! 

Please note that our team often discusses topics related to bodies and breasts, sexuality, queer culture, menstruation, pregnancy and trying to conceive, and faith, religion, astrology, self-care, and more. Kimmay combines faith and intuition into her business savvy strategy, and will be using it to make business decisions. Role: Virtual Assistant

Hours Per Week Available: 10-15 hours per week (can fluctuate) 

Job Description & Responsibilities: 

  • Ensure all clients are taken care of 1st and foremost
  • Responsible for email marketing and ensuring weekly newsletter and all campaigns are mapped and scheduled with appropriate calls to action
  • Creates or sources graphics for newsletter, Facebook group, or other necessary outlets 
  • Excellent proofreading skills and great attention to grammar and spelling
  • Oversees live group calls including scheduling, sharing with clients, uploaded recording then adds copy and timestamps to recorded calls within Kajabi, drafts and uploads quizzes, and executes client communication regarding these 
  • Daily management for all program students and clients.
    • Uploading Zoom meeting recordings
    • Create new client folders
  • Responsible for Client onboarding and offboarding
  • Client Gift procurement 
  • Daily check in with students in paid Facebook program groups and manages content plan within it to create an engaged and responsive atmosphere, as well as updates and announcements
  • Daily management of Assistant inbox
    • All emails responded to and sourced within 24 business hours 
    • Management & Ownership of email response templates 
  • Keeping Media Kit updated or working with Content Manager to do so 
  • Executes all Press sharing tasks, and assigns duties to team members, as well as keeps the Press mentions list updated, accurate, and organized
    • Assists in reaching out to brands referenced by Kimmay in press articles for potential partnership opportunities
  • Create SOPs for each of your tasks as well as ownership of creating SOPs for newly assigned tasks and updating old ones when needed
  • Updating Team templates for collaborators or guests
  • Managing Calendly and Google Calendar and coordinating meeting times
  • Organization and maintenance of Google Drive
  • Completes tasks on or before time each week with optimal efficiency
  • Responds to all business communications in 24 hours or less
  • Uses Slack and ClickUp to communicate with the Team as needed and update task completion status daily.
  • Tracks time in Toggl and provides OBM with required itemized weekly report by Fridays at 5 pm. 
  • Takes on responsibilities handed over via OBM as needed
  • Attends virtual team meetings (typically monthly) and meetings with OBM or CEO as needed
  • Has a positive attitude, takes responsibility for their actions, learns from mistakes, shows initiative and problem solving, collaborates with other team members well, is organized and honest, reliable and kind. You’ll be the forefront of our customer service and your ability to show up and serve clients as well as mitigate issues is paramount. 

This is a remote position, 1099 contractor, with team members in different time zones, with the main team time zone being Eastern.

You require close supervision and frequent direction. We need someone who is motivated, completes assignments, and initiates appropriate actions. To be successful in the role, you must be able to use many different software programs. This role is not for you if you are not technically savvy or a fast learner. Or if you are uncomfortable with topics of an intimate nature.

Role: Online Business Manager

Hours Per Week Available: 10-15 hours per week

Job Description & Responsibilities: The primary role of the online business manager at Team Hurray Media is:

  • To provide Kimmay with more brain space by being the sole manager who owns and is responsible for all day-to-day business operations.
  • To manage all Team Hurray Media members (people & projects). It is the responsibility of the OBM to set tasks with deadlines, project manage company initiatives, and ensure that all team members are completing tasks on or before time. Ultimate responsibility for all tasks completion rests with the Online Business Manager, making it her job to ensure all team members are equipped to ensure expectations are being met or exceeded. It is the OBMs responsibility to make the decision to let go of team members who aren’t meeting expectations, and to replace them as effectively and efficiently as possible. Final say from Kimmay should be requested by the OBM before the letting go message is delivered but initiative should come from the OBM.
  • Project manage all launch calendar timelines and marketing initiatives and manage the team accordingly to ensure all deadlines are met or exceeded.
  • Streamline operations and maximize efficiencies to serve clients and grow the business and revenue.
  • Synthesize Kimmay’s big ideas into actionable tasks and projects with clear deadlines and expectations
  • Provide strategic information and feedback to CEO as the manager of day to day operations
    Weekly meeting with CEO/visionary to to check in on the tasks at hand for the business 
  • Daily check in on business and clear communication via team channels 

Expectations

  • OBM must understand and recognize that her primary responsibility is to take the majority of daily decision making and all team and operations management off of CEO’s plate and act as the second-in-command for the business.
  • OBM must take responsibility, leadership, and ultimate ownership for successful ongoing operations at Team Hurray Media.
  • The OBM should be the main point of contact to assign and manage tasks to the team.
  • Resolves issues effectively — comfortable with conflict and able to solve  problems in a pragmatic and healthy manner. Ensures the team is healthy, functional, and cohesive. For example, if a deadline is missed, this person would be responsible for following up with the team members involved with that deadline to learn more about what happened and would be responsible for facilitating a conversation around how to prevent it happening again in the future and ensuring any new processes are implemented that prevent the problem from happening in the future.

 

  • Quality Control:
  • Makes sure current branding, language, links, and promotions are consistent across all platforms, web pages, digital assets and oversees any updates that need to be made
  • Tests everything, serving as the final check before something goes live.
  • OBM will come to meetings well prepared with any updates, including any just prior to the meeting, and an outline for the meeting’s topics of discussion and tasks 
  • It is the responsibility of the OBM to anticipate what is coming up and plan with the CEO all upcoming launches, team time off, and focus of the company and assume a strategic, high-level project and team management role.
  • Any documents sent to CEO requiring CEO’s decision making, editing, or approval must be broken down to be as streamlined as possible, meaning bullet points for specific answers and/or YES/NO answers whenever possible. Looms or emails sent should be succinct and include clear requests for CEO’s action or decision.
  • OBM assigns and manages all team tasks in Asana and Slack. It is the OBM’s responsibility to ensure all Team Members are using these tools per their job description, and if they are not, to take the necessary steps as outlined by Team Hurray Media
  • OBM must ensure all Hurray Media content is organized and neatly stored in Hurray Media Google Drive, and when appropriate, synced with Asana and Google Drive for client-facing documents. Tasks can be delegated, but the ultimate responsibility of Company File Organization is that of the OBM.
  • OBM must track all staff and personal hours, including their own, in Toggl (or similar) and submit a monthly itemized timesheet to Hurray Media to account for where her and the team’s hours are going so that data becomes the primary decision maker in our business.
  • OBM handles client agreements and invoicing, and tracks unpaid client invoices. She works with the bookkeeper/CFO to ensure payments are made and follows up on late payments. 
  • OBM executes funnel set up and back end tags and product management within Kajabi, Zapier, AirTable, and Google Drive; certain project tasks can be delegated to team members, while the product and project management belongs to the OBM 
  • OBM creates task checklists or SOPs for projects within Hurray Media and organizes them in a clear, and easy to locate manner with the team Google Drive, and oversees team member SOPs and task documentation. She keeps these updated on a regular basis so that at any time, a new team member could come in and execute tasks as needed.  
  • OBM submits monthly analytics reports to CEO that includes the following analytics from the previous week along with goals for next weeks, analysis for improvement, or “hurrays” and celebrations for goals met:
    • Website hits – how many visitors have we had to the website 
    • Project and client stats – including new members and clients, client invoices and cash flow, project statuses
    • Team Hurray Media weekly hours report – how many hours each team member worked per day in the week and on what
    • Social Media weekly analytics
    • Newsletter and other marketing material analytics 
  • Weekly meeting with CEO 
  • Organizes team meeting (monthly or more) 
  • Communicates with team members to ensure effective task completion, support needed, and any lack of progress
  • Determines team effectiveness and fit, and acts to let go, interview, or hire team members
  • Takes ownership of mistakes and shortcoming in herself, and takes clear steps for self-improvement, and openly shares these in leadership with the team. She does not shy away from taking responsibility for her mistakes and eagerly learns from them. 
  • She encourages the team, listens to their feedback and requests with an open heart, and offers feedback, critique, and praise freely. The team should feel comfortable coming to her with new collaborative ideas, concerns or mistakes, or requests for support. 
  • She is a cheerleader for the company and truly loves being a part of its growth, and making an impact and works for the good of the company and its team and clients. 
  • She is flexible and eager to jump in, managing several projects at once including those that pop up last minute.

  • Delegates but oversees any customer service tasks involving unsatisfied customers, payment issues, or course login, etc. 
  • Organizes program delivery and communication in Kajabi (ex: emails, automations, onboarding, and program progress) 
  • Ensures materials for each launch are organized and content is backed up within Google Drive, then uploaded to Kajabi 

Coaching clients, speaking, and workshops: 

  • Sets up any tasks for team and manages the project to completion (ex: event dates in calendar, folder and assets, travel arrangements, etc) 
  • Creates and sends agreements, and follows up on execution 
  • Creates and sends invoices, and follows up on execution
